At Dubai Desert Adventures, we understand that plans can change. This refund policy outlines the terms and conditions for refunds, cancellations, and rescheduling of your desert safari bookings.
1. Cancellation and Refund Policy
Our standard cancellation and refund policy is as follows:

Important: All cancellation requests must be submitted in writing (via email to info@dubaidesertadventures.com) to be valid. Verbal cancellations will not be accepted.
1.1 Partial Cancellations
If you need to reduce the number of participants in your booking:
- Changes made 7+ days before the scheduled service date: Full refund for the cancelled participants minus 5% administrative fee.
- Changes made 3-6 days before the scheduled service date: 50% refund for the cancelled participants.
- Changes made within 48 hours of the scheduled service date: No refund for the cancelled participants.
1.2 Special Promotions and Discounted Bookings
Bookings made under special promotions, last-minute deals, or with discounted rates may be subject to more restrictive cancellation policies. These will be clearly communicated at the time of booking.
2. Rescheduling Policy
If you need to reschedule your booking:
- Rescheduling 7+ days before scheduled service date: One-time rescheduling allowed at no additional cost, subject to availability.
- Rescheduling 3-6 days before scheduled service date: Rescheduling allowed with a 10% administrative fee, subject to availability.
- Rescheduling within 48 hours of scheduled service date: Rescheduling allowed with a 25% administrative fee, subject to availability.
- Second and subsequent rescheduling requests: Subject to a 20% administrative fee, regardless of timing.
Rescheduled bookings must be for the same number of participants and the same service type. Any price difference for seasonal changes will be charged accordingly.
All rescheduling requests must be submitted in writing (via email). The new date must be within 3 months of the original booking date.
3. Refunds Due to Company Cancellations
If Dubai Desert Adventures cancels a service due to weather conditions, insufficient participants, or other operational issues, you will be offered one of the following options:
- Full refund of the amount paid (100%, with no administrative fee deduction)
- Rescheduling to an alternative date without additional charge
- Alternative service of equivalent value
3.1 Weather-Related Cancellations
Desert activities are weather-dependent. For your safety, tours may be cancelled or modified due to adverse weather conditions such as sandstorms, heavy rain, or other unsafe conditions. In such cases:
- We will attempt to notify you as early as possible
- Full refunds will be provided, or you can choose to reschedule at no additional cost
- If a tour is already underway and must be terminated due to sudden weather changes, refunds will be provided on a pro-rata basis depending on the portion of the service completed
4. Refund Process and Timeframe
Once a refund has been approved:
- Refunds will be processed within 14 business days from the date of cancellation approval
- Refunds will be issued using the same method of payment used for the original booking
- For credit card payments, refunds may take an additional 5-7 business days to appear on your statement, depending on your card issuer's policies
- For bank transfers, you will need to provide your banking details, and international transfers may incur bank fees (which will be deducted from the refund amount)
5. Special Circumstances
5.1 Medical Emergencies
In case of serious illness or injury preventing participation in a booked activity, we may offer a more flexible refund or rescheduling option, at our discretion. Valid medical documentation must be provided within 48 hours of the cancellation request.
5.2 Force Majeure
In the event of circumstances beyond our control, such as natural disasters, acts of government, terrorism, civil unrest, or pandemic restrictions that prevent the operation of our services or your ability to travel, we will offer:
- Rebooking without penalty for a future date within 12 months of the original booking date, or
- Credit voucher valid for 24 months, or
- Refund subject to a 5% administrative fee
5.3 Group Bookings
For group bookings of 10 or more participants, special cancellation and refund terms apply:
- Cancellation 30+ days before scheduled service date: Full refund minus 10% administrative fee
- Cancellation 14-29 days before scheduled service date: 70% refund
- Cancellation 7-13 days before scheduled service date: 40% refund
- Cancellation within 7 days of scheduled service date: No refund
6. Non-Refundable Items and Services
The following items and services are non-refundable:
- Processing fees or administrative fees
- Travel insurance premiums
- Optional extras or add-ons purchased within 48 hours of the service date
- Personalized or custom services specifically arranged at your request
- Third-party fees that we have already paid on your behalf and cannot recover
7. Requesting a Refund
To request a refund:
- Email your cancellation request to info@dubaidesertadventures.com
- Include your booking reference number, date of service, and reason for cancellation
- Our customer service team will review your request and respond within 2 business days
- Once approved, the refund will be processed according to the timeframe outlined in Section 4
8. Complaints and Disputes
If you are dissatisfied with any aspect of our service:
- Please inform our guide or staff immediately during the service so we can attempt to resolve the issue on the spot
- If the issue remains unresolved, please submit a detailed complaint in writing within 7 days of the service
- Include your booking reference, date of service, nature of the complaint, and any supporting evidence
- We aim to respond to all complaints within 7 business days
- Refunds for service quality issues will be assessed on a case-by-case basis
9. Updates to This Policy
We reserve the right to modify this refund policy at any time. Changes will apply to new bookings made after the date of the change. For existing bookings, the refund policy in effect at the time of booking will apply.
